Scheduling for barbershops
Barbershop scheduling: bookings over WhatsApp, no notebook
Your calendar is a pile of WhatsApp messages and a notebook. When two clients ask for six in the evening, you find out when both are standing at the door.
Your catalog, with the duration it actually takes
- Classic cut30 min
- Cut and beard45 min
- Beard trim and line-up20 min
- Cut, beard and brows60 min
- Hot towel ritual40 min
Cut, beard and brows takes 60 minutes. A calendar that treats everything as “an hour” will offer you a slot that service doesn't fit into.
Why it fits
Why WhatsApp scheduling fits barbershops
Slots are short and back to back: one miscalculated gap throws off the rest of the day.
Almost all bookings come in over WhatsApp or Instagram, outside opening hours.
Clients are regulars who come back every two or three weeks: recognizing them by number saves half the conversation.
Services
Typical durations in this trade
Duration is what decides which times get offered to the client. These are the usual values to start from and adjust with your own measurements.
What changes in your calendar
With twenty and thirty minute services the grid can run every fifteen minutes, so the day is used end to end without dead gaps between clients.
| Service | Duration |
|---|---|
| Classic cut | 30 min |
| Cut and beard | 45 min |
| Beard trim and line-up | 20 min |
| Cut, beard and brows | 60 min |
| Hot towel ritual | 40 min |

How your calendar ends up
One barber, one schedule
Each barber sets their own days and hours, split shifts included. Anyone without their own inherits the business hours.
The assistant checks before it answers
It never tells the client you're full or closed without having looked at your calendar. If it tries, the system blocks the reply and forces it to check.
A reminder the day before
The client confirms or says they can't make it, and that slot goes back on sale.
Days you open as an exception
A Sunday or a public holiday opens for that date, without touching the weekly schedule. The assistant respects it.
Questions
Frequently asked questions
Can I still take walk-ins?
Yes. Anyone who walks in gets booked by hand from the dashboard, even at a time the public grid no longer offers. Booking restrictions are for clients booking online, not for the person behind the chair.
Does the assistant recognize my regulars?
Yes, by their WhatsApp number. If they're already a client it greets them by name and sees their history: what they had last time and when, so the conversation starts where it should.
What does it cost to start?
Pricing is per barber, and the plan includes WhatsApp handled by the assistant. If there are several of you, each additional barber adds to the monthly total. You can create the account without a card and set the calendar up before paying.
